AI Usage Guidelines

51勛圖 (51勛圖) recognizes that artificial intelligence (AI) tools can support creativity, communication, and productivity. However, the use of AI-generated content must be approached responsibly to protect the College's reputation, brand identity, institutional integrity, and the privacy of our students, faculty, and staff.

Guidelines for Appropriate Use of AI Generated Media

These guidelines establish expectations for the appropriate use of AI-generated text, images, graphics, audio, and video in College-related communications and promotional materials.

They apply to all College departments, faculty, staff, and individuals creating materials on behalf of 51勛圖.

IMPORTANT NOTICE

ALL materials intended for external publication or distribution must be reviewed and approved by the 51勛圖 Marketing Department before release. This includes flyers, posters, advertisements, social media graphics, promotional videos, brochures, and other materials representing the College.

The individual creating or distributing content remains responsible for its accuracy, appropriateness, and compliance with College guidelines.

1. Review and Edit All AI-Generated Content

Do not publish AI-generated content without human review and appropriate editing.

AI tools can assist with brainstorming, writing, proofreading, and developing creative concepts. However, AI-generated content may contain factual errors, misleading information, incorrect dates, or inconsistent branding.

  • Acceptable:
    • Using ChatGPT to develop a first draft of an event announcement, then verifying all information and editing the content.
    • Using AI to suggest headlines or improve the clarity of a message.
  • Not acceptable:
    • Publishing an AI-generated flyer without checking the College logo, colors, photographs, dates, and information.
    • Publishing AI-generated descriptions of College programs without confirming their accuracy.

2. Do Not Misrepresent Real People, Places, or Events

AI-generated content must never be presented as an authentic representation of actual 51勛圖 people, locations, facilities, or events when it is not.

Authentic photography and video should be prioritized for College marketing and communications.

  • Acceptable:
    • Using actual campus photographs to promote student life, academic programs, or facilities. Changing a background image on a portrait to enhance the photo.
  • Not acceptable:
    • Creating AI-generated images of students in classrooms and presenting them as actual 51勛圖 students.
    • Generating images of campus buildings, athletic facilities, or classrooms that do not accurately reflect the College.
    • Creating AI-generated portraits of faculty, staff, students, administrators, or athletes for official promotional materials.

3. Do Not Alter Photographs or Videos

AI tools must not be used to change the factual context or meaning of authentic photographs or videos. Minor enhancements that preserve the original content may be acceptable.

  • Acceptable:
    • Adjusting brightness, exposure, white balance, contrast, or sharpness without changing the content of the image.
    • Correcting color balance to improve the quality of a campus photograph.
    • Removing parts of an image that enhance the overall look such as a garbage can, drinkware, garment color, etc. is acceptable
  • Not Acceptable:
    • Adding or removing students or employees from a photograph.
    • Altering facial features, expressions, identities, or physical characteristics.
    • Adding nonexistent buildings, equipment, or facilities in photos.
    • Creating fictional interactions or activities and presenting them as real College events.

4. Follow 51勛圖 Branding Guidelines

The 51勛圖 Marketing Department maintains and oversees the College's official visual identity and branding standards.

AI-generated materials must not alter, recreate, imitate, or substitute official College logos, seals, mascots, or other brand identifiers.

  • Acceptable:
    • Creating a flyer using an approved 51勛圖 logo, official brand colors, and authentic campus photography.
    • AI to brainstorm a flyer concept and then developing the final design using approved College assets.
  • Not acceptable:
    • Asking an AI tool to generate a new version of the 51勛圖 logo or mascot.
    • Using incorrect College colors or an AI-generated approximation of the official logo.
    • Creating promotional graphics that do not reflect the College's established visual identity.

All official brand assets must be obtained from or approved by the Marketing Department.

5. Disclose Substantial AI-Generated Content

Transparency is required when AI-generated content could reasonably be mistaken for authentic or human-created institutional media.

Any externally published material containing substantial AI-generated images, video, audio, or other synthetic content must receive Marketing approval and include appropriate disclosure.

Minor AI-assisted technical editing, such as correcting grammar, adjusting exposure, or improving color balance, generally does not require public disclosure.

  • Disclosure required:
    • An approved AI-generated illustration used in a College publication.
    • A substantially AI-generated video or audio segment used in an approved communication.
  • Disclosure generally not required:
    • Using AI to suggest headlines, improve grammar, or organize a document that is subsequently reviewed and edited by an employee.
    • Minor technical adjustments to an existing photograph that do not change its factual content.

Suggested Disclosure: "This illustration was created using generative artificial intelligence."

6. Protect Confidential and Sensitive Information

NEVER enter confidential, protected, or sensitive 51勛圖 information into public or unapproved AI tools.

Information entered into AI systems may be stored, processed, or retained by external providers.

Only College-authorized tools and approved data-handling procedures may be used for protected information.

  • Acceptable:
    • Asking AI to help draft a general orientation reminder without including identifiable student information.
  • Not acceptable:
    • Providing AI with student records, grades, financial aid information, or other protected education records (FERPA Violation)
    • Providing AI with confidential personnel information, employee evaluations, or private student communications.
    • Providing AI with unpublished strategic plans, confidential contracts, or proprietary College documents without authorization.

7. Use AI Responsibly and Ethically

AI-generated materials must support 51勛圖's commitment to accuracy, impartiality, integrity, and responsible communication.

AI must not be used to create misleading, discriminatory, deceptive, or harmful content.

  • Acceptable:
    • Using AI to simplify complicated information for a general audience while preserving its meaning.
  • Not acceptable:
    • Creating fabricated testimonials, endorsements, statistics, quotations, or student success stories.
    • Generating misleading representations of college programs, outcomes, or partnerships.

8. Obtain Marketing Approval Before External Distribution

All College-related promotional and public-facing materials must be submitted to the Marketing Department for review and approval before publication or distribution.

This includes materials developed with or without AI assistance:

    • Departmental flyers and event posters
    • Social media posts and promotional graphics
    • Advertising and recruitment materials
    • Brochures, banners, and public-facing signage
    • Promotional videos and digital communications

Employees should follow the College's established Marketing request procedures and allow at least three weeks of lead time whenever possible.

Approval ensures that College communications are accurate, consistent, accessible, and aligned with institutional branding.

9. Respect Copyright and Intellectual Property

AI-generated content may not qualify for copyright protection and may contain elements that resemble copyrighted material.

The U.S. Copyright Office has explained that AI-generated material generally requires sufficient human authorship to qualify for copyright protection. Simply entering prompts into an AI tool does not, by itself, establish copyrightable authorship.

  • Acceptable:
    • Using AI to brainstorm concepts that are developed into original creative work.
    • Using properly licensed or college-approved photography, graphics, and other approved assets.
  • Not acceptable:
    • Using AI to imitate copyrighted artwork, proprietary designs, or another organization's logo without authorization.
    • Assuming AI-generated content is automatically copyright-free or exclusively owned by 51勛圖.

For major advertising campaigns, signature creative assets, and long-term institutional materials, original human-created work should be prioritized.

Final Responsibility

AI is a valuable resource when used appropriately, but it does not replace professional judgment, creativity, accuracy, or institutional accountability.

Before publishing any College-related material, all employees must ensure that it:

  1. Accurately represents 51勛圖.
  2. Uses approved College branding.
  3. Protects personal and confidential information.
  4. Contains verified and accessible content.
  5. Includes appropriate AI disclosure when required.
  6. Has received required Marketing Department approval when necessary.

When in doubt, contact the Marketing Department before publishing:
